Senior Business Compliance Specialist (M/F/D) – Austria, Switzerland & Nordics

Description In this role, the Sr. Business Compliance Specialist (Sr BCS) ensures complete, accurate and timely reporting in line with applicable transparency laws, regulation and Codes of Practice (Transparency) together with the Austrian, Swiss and Nordics teams. In addition, Sr BCS performs Business Compliance (BC) Monitoring and develops respective compliance reports for these affiliates. Sr BCS develops and provides trainings to local staff in area of Transparency and BC Monitoring. Additional tasks in area of BC may be assigned by the manager.This position is fulltime, based in Austria (Vienna) and reports to Austrian Country Counsel with a dotted line to the Country Counsels Switzerland and Nordics. Sr. BCS is a member of the Global BC Specialists and BC Managers network. Due to multinational responsibilities and tasks, this role requires international travel.Responsibilities in TransparencySr BCS ensures complete, accurate and timely collection and reporting of transfers of value (ToV) data, including:Manage data flow from data sources to end reporting engine for ToVs, including taking corrective actions and remediation of ToV data to ensure that correct, complete and accurate data flow into the Global Transparency system (PwC).Conduct GTF checks, follow up and submission related to ToVs to HCPs and HCOs made by third parties.Performance of local pre-disclosure process (if applicable) including managing and resolving any issues raised by HCPs / HCOs / Patient Organizations on pre-disclosed or disclosed ToVs.review and maintain robust customer master data in source systems – Oracle EBS/SAP and G360 to ensure compliance with Gilead’s transparency requirements.BC Approver in respective system for new EFPIA reportable spends (HCPs/HCOs) set-ups.Submission of the Transparency reports to local authorities or industry associations, as applicable, and publication on the Gilead website.Review of suppliers (e.g. corrections concerning HCPs, HCOs and patient organisations).Respective communication with internal clients and external stakeholders.Training of new hires and refresher trainings.Responsibilities in BC MonitoringPerforms BC Monitoring and follow-up actions (including selection of samples, review of sample activities and materials, remediation actions, etc.)Produces internal and (if required) external compliance reports and respective submission into internal system (LogicGate) and if required also externally.Liaises with relevant business function leads to ensure data is sufficient to provide accurate and compliant reports.Present any monitoring findings/assessment to the local compliance committee (BCC).Additional ResponsibilitiesManager may assign additional tasks in the area of BC, e.g. support in development of work practices, approval processes and systems (Veeva Event Management, PromoMats), support in BC audits, BC trainings other than in Transparency and Monitoring, contribution to (inter)national projects, support of internal committees (Business Compliance Committee, Project Review Committee, Grant Review Committee), support initiatives to remove barriers to speed in execution and/or drive operational excellence, and more.Knowledge, Experience and SkillsExperience in data management, data systems and data reconciliations, preferably in the life science/pharmaceutical industry sectorExperience in working with business compliance and/or compliance monitoring, preferably in the life science/pharmaceutical sectorGood analytical skills with an ability to pro-actively anticipate/spot areas of risk and initiate efforts to address them.Good written and verbal communication skills in English and GermanAdvanced use of MS-Office with emphasis in MS-ExcelExperience in pharmaceutical industry activities and compliance regulationsKnowledge of Austrian, Swiss and Nordics and/or EFPIA Transparency Codes preferredBehavioursClient service orientationStrong work ethics and resilient profile with the ability to deliver in a fast-paced environmentAbility to engage and manage multiple stakeholders to achieve the objectiveBuild strong interpersonal relationships with peers and stakeholdersOrganized with systematic approach to prioritizationProcess orientated to achieve the business objectiveSelf-starter who can work with little supervision in a multi-jurisdictional settingLogical, accurate and analytically competentCurious with learning agilityGilead Core ValuesIntegrity (doing what’s right),Teamwork (working Together),Excellence (being your best)Inclusion (encouraging diversity)Accountability (taking personal responsibility)The minimum salary for this position is EUR 73,000, with a flexibility for higher salary based on qualification and experience.Equal Employment Opportunity (EEO)It is the policy of Gilead Sciences, Inc. and its subsidiaries and affiliates (collectively "Gilead" or the "Company") to recruit select and employ the most qualified persons available for positions throughout the Company.
